Event Promoters

Hello Event Promoters!

HEM has a well-earned reputation for compassionate and caring service to its clientele. This is the result of an organized, rotating schedule of all-volunteer medical staffers, thereby providing refreshed, focused services from our staff. See our about and volunteer page for more on what we provide at events

What does HEM expect from the Venue Management or Promoters?

For outdoor events, we use:

a 30' x 30' service site clearly visible and accessible to a large crowd of patrons. We will provide a multi room clinic in this space with our own furnishings, tables, lighting and so forth.

Close parking for easy in/out for HEM staffers and supply deliveries.

Clear in and out access from the medical site to main road for emergency vehicle or transport.

Radios for use by HEM to communicate with roving HEM staff and venue management, with extra battery packs and hand microphones or headsets.

Unlimited safe drinking water and ice for patient use.

Electricity with multiple outlets

A portable, ADA compliant restroom & hand wash sinks equipped with soap and towels that are routinely serviced to provide necessary sanitary facilities for our medical staff and patients. This is very important to prevent the spread of illness and bacteria in our medical setting. Overflowing toilet or no water in the sink can quickly be a crisis for our staff and patients.

Event passes for our staff that can support the size of the crowd and nature of work expected. We can assist you in determining this based on our previous experience. For multi-day events that we provide over night services, our staff will need camping passes provided.

HEM rovers near the stage, pairs of rovers maneuvering through the crowd, and rovers in gators/golfcarts throughout the festival grounds including campgrounds.

For Indoor and short outdoor events, we use:

a 10' x 10' service site clearly visible and accessible to a large crowd of patrons.

A table and chairs to treat people who are injured, exhausted by heat or crowd syndrome, intoxicated or suffering from lack of fresh air, water or personal care.

Radios with hand microphone or headset for use by HEM to communicate with roving HEM staff and venue management.

Unlimited safe drinking water and ice for patient use.

Good lighting or electric outlets for our own lighting.

An accessible near by restroom. Ill patients can not travel too far or wait in long bathroom lines. Also HEM medical staff need an immediately accessible hand wash sink or water dispenser with large basin.

Event passes for our staff that can support the size of the crowd and nature of work expected.

Preferred but not Mandatory: HEM and our patients in crisis or trauma like to have a small treatment area that is not visible to the general crowd that we can take patients to for more private in nature treatment. This does not need to be adjacent to our 10' X 10' site but does need to be easily accessible for alterabled or unconscious patients being carried. Some health conditions are inappropriate to have spectators watching from the crowd.

Compensation

As HEM provides the best, most compassionate & tireless service to event patrons, HEM needs to be appropriately compensated for its time and medical supplies. Promoters must consider the all-volunteer force driving the HEM engine. Many of our medical volunteers are paid highly for their time in their field of practice and provide their expertise and medical supplies for free through HEM out of their compassion, support and love of music and the community. HEM provides from generous donations and contracted fees a well stocked medical and crisis clinic on site and these amenities to our staff: HEM logo and medical cross identifying clothing, ID laminates, food, lodging, and reimbursement for travel expenses. HEM encourages volunteers from all over Cascadia and beyond to give their time and knowledge to event patrons.

Please strongly consider HEM for your next event!!
